This Privacy Policy describes how AI Meeting Note Taker: NotrAI ("NotrAI", "the App", "we", "us", or "our") collects, uses, and protects your information. By using NotrAI, you agree to the practices described in this policy.
1. Audio Data Processing & Transcription
NotrAI allows you to record or upload audio files for speech-to-text transcription. Because your audio may contain personal or sensitive information, we want to be completely transparent about how it is handled.

When you initiate a transcription, your audio recording or uploaded audio/video file is transmitted from your device to our server for processing. The audio file is the only data sent — no contacts, messages, photos, or other personal data from your device is accessed or transmitted.

Where It Is Processed
Audio is processed exclusively on NotrAI's own dedicated server using WhisperX, an open-source speech recognition engine. No third-party AI services (such as OpenAI, Google, Amazon, or others) are involved in the transcription process.

Automatic Deletion
Audio files are automatically and permanently deleted from our server immediately after the transcription is complete. We do not store, archive, back up, or retain your audio recordings in any form.

No Third-Party Sharing
Your audio recordings and transcription results are never shared with, sold to, transmitted to, or accessed by any third parties. All processing occurs on our own infrastructure.

Before your first transcription, the App will ask for your explicit consent to send audio data to our server. You may decline at any time — if you do, no audio data will be transmitted.
Transcription Results
The resulting transcription text is returned to your device and stored locally. You maintain full control over your transcription data. NotrAI does not access, read, or analyze the content of your transcriptions on the server side.
2. Information We Collect
Information You Provide
Audio files — recordings you create or upload for transcription (deleted immediately after processing, as described above).
Email address — if you create an account or contact our support.
Automatically Collected Data
Usage data — anonymous analytics such as feature usage, session duration, and app version to help us improve the service.
Device information — device type, operating system version, and language settings.
IP address — collected in server logs for security and diagnostics; not used for tracking.
What We Do NOT Collect
We do not access your contacts, photos, messages, or location.
We do not use tracking pixels, fingerprinting, or advertising identifiers.
We do not retain audio recordings beyond the transcription process.
3. How We Use Your Information
We use your information for the following purposes:
Provide the service — process your audio files and deliver transcriptions.
Account management — manage your account and subscription.
Improve the App — analyze anonymous usage patterns to enhance features and fix issues.
Customer support — respond to your inquiries and requests.
Legal compliance — comply with applicable laws and regulations.
4. Data Sharing & Third Parties
We do not sell your personal data. We do not share your audio recordings or transcription content with any third party.
We may share limited information in the following cases:
Payment processing — subscription payments are handled by Apple via the App Store. We do not receive or store your payment details.
Legal requirements — if required by law, court order, or governmental authority.
Business transfer — in the event of a merger, acquisition, or sale of assets, you will be notified before your data becomes subject to a different privacy policy.

No third-party AI services are used for transcription. All speech recognition is performed on NotrAI's own server infrastructure using the open-source WhisperX engine.
5. Data Retention
Audio files — deleted immediately after transcription. Zero retention.
Transcription text — stored locally on your device only. Not retained on our servers.
Account data — retained for the duration of your account plus up to 24 months after deletion for dispute resolution.
Usage & server logs — retained up to 24 months for security monitoring and service improvements, then deleted or anonymized.
Support correspondence — retained up to 24 months from closure for quality assurance.
When retention periods expire, data is securely deleted or anonymized. You may request information about retention of your specific data by contacting us.
6. Security
We take the security of your data seriously. Audio files are transmitted via encrypted HTTPS connections. Our server infrastructure uses industry-standard security measures. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Your Rights
You have the right to:
Access — request a copy of personal data we hold about you.
Correction — request correction of inaccurate data.
Deletion — request deletion of your personal data.
Withdraw consent — you may revoke your data processing consent at any time. This will not affect data already processed.
Data portability — request your data in a portable format where applicable.
